Auto enrolling employees in KiwiSaver

You must automatically enrol all employees who meet these three conditions:

Work out if employment term is more than 28 days

Use the length of the employment agreement, not the number of days your employee will work during their contract.

An employment term of more than 28 days means you have either:

  • given your new employee an employment agreement that has an end date more than 28 days after the start date, or
  • extended your employee's agreement so their new end date is more than 28 days after the start date.

If your employee's employment term is more than 28 days,
give them information and forms for KiwiSaver

We recommend you do this when you send them their employment agreement to sign. Otherwise, you must give them the KiwiSaver information pack KS3 within seven days of them starting work.

Collect your employee's completed forms and check them

For new employees, collect these at the same time you collect your employee's tax forms and bank account details.

Check these forms are complete and your employee has signed and dated them.

Work out if they are eligible

Use the information your employee have given you on the KiwiSaver Information Assessment Form ESP29 to work out if they are eligible.

Your employee is eligible to enrol in KiwiSaver if they are:

  • a New Zealand citizen, or entitled to live in New Zealand indefinitely
  • living or normally living in New Zealand
  • over 18 and under the age of eligibility for NZ Super
  • not already a KiwiSaver member.

Copy the forms then post them to your pay centre

Place the copy of the completed KiwiSaver deduction form KS2 and KiwiSaver Information Assessment Form ESP29 on your employee's file.

Post the original copy of these forms to your pay centre.

Do not post the forms if you have assessed that your employee is not eligible: file them.

Tell your employee when deductions will start

Your pay centre will start KiwiSaver deductions in the pay period after the cut-off date for which they receive the forms.
