Start of Year Form: FAQs


MAC users may have difficulty opening, using or printing the SOY form.

MAC removed Visual Basic from their version of Mac Office. This means that existing macros in Microsoft Office documents, such as the SoY Form, will not work.

MAC users having difficulties with this form can either:

  • complete the form on a computer with Microsoft Office, if you have one available, or
  • contact the ESPC Service Desk (0800 733 772) who will arrange to send a printed copy of your form to you.

SoY Form naming convention: your School # and 'SOY'

The SoY Form document name should consist of your school number and 'SOY'.

Do not rename your SOY document when opening and saving it. Your file name should always include your School number and SOY. For example, 01234SOY.xls

Opening and saving the SOY form

If you have trouble opening and saving the SOY Form, locate the email message sent to you from MOEPAYSLIP 1 which holds your SOY Form:

  • right-click on the attachment
  • select 'save as'
  • select the location on your computer where you would like to save the form to
  • select save

1) Do not reply or send your completed forms to this email address. It is an unmonitored address and not connected to your paycentre.


SoY Form looks 'squished up'

If the form does not fill your screen, it is likely that you haven't:

  • Enabled your macros
    To enable the macros, read pages 3-4 of the Start of Year Staffing Form Guide

or

  • Maximised your screen
    To maximise your screen click on the 'Maximise' button at the top right of your screen

If you're still having problems, contact the ESPC Service Desk (0800 733 772).

Only one tab (or worksheet) is showing

If you see one one tab (worksheet) and don't see any other tabs (worksheets), this may be because:

  • You haven't enabled your macros
    To enable the macros, read pages 3-4 of the Start of Year Staffing Form Guide

or

  • The form was saved when you were in the last tab
    You can scroll through the tabs using the arrows at the bottom left of your screen

A message appears that the form is 'write protected'

This message will display if you:

  • Haven't enabled your macros
    To enable the macros, read pages 3-4 of the Start of Year Staffing Form Guide

or

  • Are trying to enter data in a cell which is protected
    This cell has data from the payroll system which is protected and should not be modified

The 'same as shaded row' drop-down box isn't working

This may be because you haven't:

  • Enabled your macros
    To enable the macros, read pages 3-4 of the Start of Year Staffing Form Guide

or

  • Positioned your cursor in the white cell

Entering a start date in the spreadsheet

The 'same as shaded row' field needs to be completed before you can enter the start date for the employee.

Please note that a start date is not required for permanent teachers or employees who have 'left'.


What start-date to enter for a 52 week employee who works year-round

Enter the first 'actual' day they will be at work for the 2011 year.


SoY form does not include Fixed Term units /allowances

If your employee's fixed term units/allowances are to continue or need changing then send in the appropriate ESP forms to your paycentre.

An employee does not appear on the form

Your SOY form was populated using information for your school as at the end of PP2317 (14 November 2010).

If you have an employee not showing on this form, you should enter their details under 'Additional Staff'.

Remember to also send in a New Appointment Form for Teaching Staff ESP1t.
